The below guide and tip&amp;tricks delve into a few proven prioritisation techniques, offering actionable insights for Customer Success Managers (CSMs) and Heads of Customer Success. By implementing these strategies, you can enhance your team's productivity, foster stronger customer relationships, and achieve your organisational goals.<\/p>\n\n\n\n<p>As a consultant, I must ensure very quickly that the roles &amp; responsibilities of CSM are clarified as well as the company\u2019s objectives. That\u2019s where it starts! Effective prioritisation ensures that CSMs focus on tasks that align with customer needs and business\/company objectives. One first tip is to start identifying high-impact activities it helps teams allocate resources efficiently, reduce churn, and enhance customer satisfaction.<\/p>\n\n\n\n<p>CSMs often face obstacles such as:<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Overwhelming task lists: <\/strong>\u00a0Managing numerous client accounts can lead to an extensive list of responsibilities<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Reactive workflows: <\/strong>\u00a0addressing urgent issues can overshadow strategic initiatives<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Lack of clear prioritization frameworks: <\/strong>\u00a0without structured methods, important tasks may be overlooked<\/p>\n\n\n\n<p>On any consulting project I have worked on, I have spent time looking at the CSMs\u2019 portfolios and customer segmentation and made recommendations to improve the efficiency of CSMs and impact customers satisfaction.<\/p>\n\n\n\n<p>Apart from these essentials, I recommend the 3 following frameworks in order to address prioritisation.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. The Eisenhower matrix: Urgency vs. Importance<\/h3>\n\n\n\n<p>The Eisenhower Matrix categorizes tasks into four quadrants:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Urgent and Important: <\/strong>\u00a0tasks requiring immediate attention (e.g., critical client issues)<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Important but Not Urgent: <\/strong>\u00a0strategic activities (e.g., planning customer success initiatives).<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Urgent but Not Important: <\/strong>tasks that can be delegated (e.g., routine emails)<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Neither Urgent nor Important: <\/strong>activities to minimize or eliminate (e.g., unnecessary meetings)<\/li>\n<\/ul>\n\n\n\n<p>Implementing this matrix helps CSMs focus on tasks that drive long-term success.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Leveraging the Pareto principle (80\/20 rule) in customer management<\/h3>\n\n\n\n<p>The Pareto Principle suggests that 80% of results come from 20% of efforts. For CSMs, this means identifying and focusing on tasks that yield the most significant outcomes, such as nurturing high-value clients or addressing common pain points.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. Leveraging the MoSCoW method for task categorisation<\/h3>\n\n\n\n<p>This framework helps setting clear priorities and managing stakeholder expectations.The MoSCoW method classifies tasks into:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Must-Have: <\/strong>Essential tasks for success<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Should-Have: <\/strong>Important but not critical tasks<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Could-Have: <\/strong>desirable tasks if time permits<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Won't-Have: <\/strong>tasks to exclude for now<\/li>\n<\/ul>\n\n\n\n<p>Finally, part of my consulting projects, I provide coaching and training to CS leaders and CSMs and help them to re-assess their calendar. The goal is to better organise their work week and I find time blocking as very efficient. It is fairly straight forward and forces you to identify then allocate specific time slots for different tasks or activities. This method helps CSMs and CS leaders:<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Reduce distractions: <\/strong>by dedicating time to specific tasks, interruptions are minimized<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Enhance Productivity: <\/strong>focused work periods lead to higher efficiency<\/p>\n\n\n\n<p class=\"translation-block\">\u2022\u00a0<strong>Ensure balanced workloads: <\/strong>allocating time for both reactive and proactive tasks maintains equilibrium<\/p>\n\n\n\n<p>In many cases, my clients approve an increase in efficiency, productivity and overall business impact.
